Job Description:  The Community Association Management Director shall be responsible for all operational aspects of the Las Sendas Community Association. This executive will be responsible for coordinating the services of the entire staff, as well as contract providers, while being highly visible and accessible to the membership. The Director shall possess the knowledge, energy and enthusiasm to consistently deliver the highest caliber of service throughout the Community.  The Director will be responsible for proposing and delivering fiscally sound operations and operational direction to staff, in addition to partnering with the Board of Directors and various committees to develop and attain agreed-upon objectives.

Rquirements and Responsibilities

The Director must have:

  • A minimum of a Bachelor’s Degree from an accredited university
  • Superior knowledge and proficiency in the management of a large Association, with accompanying certification (PCAM or LSM, and CPM).
  • A proficiency and experience in Budget formulation and management to that plan
  • Exceptional knowledge and skill in the use of personnel and resource management procedures, and application of associated human resource rules

    The duties of the Director will include, but not be limited to:

    1. Management of all staff and amenities of the LSCA, to a superior level of performance and the expectations of the LSCA Board and Las Sendas residents.
    2. Faithfully implement all policies and projects approved by the LSCA Board of Directors
    3. Prepare and adhere to the Annual LSCA budget, after that budget has been approved by, the LSCA Board of Directors.
    4. Negotiate and manage all contracts for all providers and outsourced services.
    5. Conduct regularly scheduled performance reviews and evaluations for staff and contractual providers.
    6. Work closely with the Architectural, Finance and all Ad Hoc Advisory Committees to enhance the operational value of the Association
    7. Provide a positive work environment for all staff and customers
    8. Oversee the Maintenance of all LSCA facilities and property
    9. Perform Human Resource functions for LSCA staff

    Job Description:  

    The Marley Park Operations Manager will have primary responsibility to oversee the daily management of the Community and provide excellent customer service to community stakeholders. To this end, the Operations Manager’s responsibilities will also include:

  • Oversee all landscape, facilities, compliance, financial, legal and risk management components of the Association
  • Oversee the covenant enforcement provisions of the governing documents
  • Manage insurance policies, contracts, reserve studies and the risk management program
    • Oversee governance relative to operations
    • Monitor changes to governance and documents per new Arizona Legislation
    • Manage the Community Standards Coordinator and Facilities and Landscape Manager
    • Troubleshoot community problems and concerns and develop responsive tactics to solve situations and improve community positioning
    • Manage internal policies and procedures
    • Correspond with community members and partners on operational issues
    • Oversee bid procedures
    • Oversee Design Review approval process in partnership with Espiritu Loci
    • Determine need for resolution/rules
    • Organize and oversee annual meeting
    • Oversee in community information recording, collection, filing, and distribution, including the electronic storage filing system
    • Manage the Board of Director functions, including scheduling, resolutions, notifications, agenda and board packets
    • Coordinates and consultants with internal concept development, and review of plans and specifications relative to parks/landscape
    • Provide feedback around future project design, layout, etc. by participation in DMB design meetings with Marley Park Team
    • Coordinate establishment of service areas
    • Oversee volunteer programs/awards for operation committees and community support groups to include STAND and Neighborhood Beautification Committees
    • Coordinates Operational Roundtables with counterparts from other DMB Communities
    • Coordinate year-end audit and other legal requirements
    • Manage the external contracted bookkeeping company
    • Educate residents in the architectural guideline assistance, and managing the architectural approval process, including helpful outreach programs to foster resident awareness of architectural style
    • Monitor budget and produce budget variance report to include subsidy request
    • Monitor Neighborhood budgets and communicate  with Neighborhood Leaders
    • Oversee turnover process from Developer to Marley Park Community Association
    • Code invoices and monitor budget
    • Manage the Cox billing program
    • Oversee Personalize Your Home Workshop
      Represent the community at internal and external events
    • Attend weekly builder meetings to represent the Association
    • Manage license requirement and permits for Community Association to include monthly Transaction Privilege tax reporting

    Key Experiences

    The following experiences are key to the success of a Community Manager:

    • Four to six years of progressively responsible, professional community management experience
    • Three to five years experience in managing an effective team
    • Possession of Bachelors Degree in related field preferred
    • Knowledgeable of facilities management, budgeting, community financials, building trades and landscape management
    • Knowledgeable in covenants enforcement and architectural guidelines for large-scale communities
    • Experienced in conducting meetings and taking/transcribing/distributing meeting minutes
    • Experienced in working with volunteers (clubs, committees, neighborhood groups, etc.)
    • Comfortable speaking before small and large groups
    • Proficient in computer software skills, database management and telephone etiquette
    • Community management educational coursework with a goal to obtain PCAM designation within the next three years
    • Participation in CAI’s designation program including CMCA or AMS
